Accepting a Job Offer

At the time of accepting an offer, the candidate must sign and return a letter of offer as an official acceptance of the position.

When sent a job offer, there are a few options on how to accept exist, namely:

  • Accepting on the spot, bearing in mind that there is much to consider before assuming new responsibilities.
  • Requesting a couple of working days to consider. It is needed to think things through and efficiently for making rushed decisions can cost you in the long run.
  • Negotiating new conditions within the employment terms. There is nothing wrong with negotiating new conditions to fit your preferences.

Candidates must agree by promptly communicating their interest and gratitude to the hiring manager by telephone or email.

How to Accept a Job Offer

When you receive a written job offer, it’s polite and imperative to respond to it via a job offer acceptance email even if you’ve already verbally accepted the offer.

A job offer acceptance email or letter of acceptance can be quite short but should contain the following:

  • An expression of your appreciation for the availability of work and opportunity.
  • Formal written acceptance of the offer of employment.
  • Clarification of your beginning date.

It’s also important to make sure it’s a formal and well-versed job offer acceptance email – think of it as your chance to show the employer that they made the right decision in choosing you and offering you the said job. So when writing your job offer acceptance letter, make sure you use proper language, address the recruitment manager directly, and use a spell check to ensure proper spelling and grammar.

Declining a Job Offer

In case of doubt about the decision to refuse an offer or to negotiate, the candidate must evaluate the employment opportunity taking into account the following questions:

  • How do wages and benefits correspond to market averages? Do we have room to negotiate?
  • Is there room for growth?
  • What are the corporate values of the prospective employer?
  • How will employment fit into an applicant's life outside of work?
  • How will this position contribute to the individual and professional goals of the candidate?

There should be no pressure to accept an offer if it isn't a good fit. It is important to be polite and professional when interacting and not to burn bridges. If you choose not to accept the offer of employment, refuse in a formal letter and thank all those who participated in the interview process.

How to Decline a Job Offer

Show Your Appreciation

First of all, it is important to thank the hiring manager for the offer and for their time. Interviewing potential candidates is part of their job responsibilities, but this person most likely spent several hours reading your resume among a lot of resumes sent by other applicants, perusing your social media profiles, and sitting down with you for interviews.

Give a Good, Brief Reason

Especially if you’ve spent a lot of time interviewing, it’s the right and respectful thing to do, not to leave a hiring manager in the dark about why you’re declining the position

Stay in Touch

Offering some small pleasantries before you sign off is always a good idea. Alternatively, you may make a simple mention that you wish to that person all the best in the future.

Once you have received the recruitment officer's offer of employment, you have the freedom to accept or refuse it. But be sure to inform the recruitment officer of your decision to prevent unpleasant mishaps from happening.

For the company, we have an automated signing application called HelloSign which basically allows you to virtually sign documents, as well as review the document that needs to be signed. HR is informed if all parties have signed, viewed and reviewed this document. When there is no signature, they are nevertheless informed and follows up the people who needs to sign the documents.

This automated signing application is good for the company as everything is now digitized and COVID-19 restrictions prevent us from physically providing job offers and other letters.

This application also favors ordered treatment and tastes.
